ESDS Billing Policy

Simple, Transparent & Reliable Billing

At ESDS, we believe billing should be clear, predictable, and effortless. Our billing practices are designed to give you complete transparency, flexible options, and uninterrupted service—so you can focus on your business while we take care of the rest.

1. Flexible Payment Options

We offer convenient and secure payment methods to suit your business needs:

  • PayU India Payment Gateway
  • Bank Transfer

2. Seamless Bank Payments

For bank transfers, simply share your payment receipt from your registered email ID at [email protected]. An automated ticket will be generated to ensure faster payment reconciliation.

Note: A penalty of INR 250 will be applied in case of cheque dishonor.

3. Easy Billing & Service Management

Managing your account is simple and fully supported. Raise a request from your registered email ID for:

  • Contact detail updates
  • Billing cycle changes
  • Service upgrades or downgrades

Add-on Services:

Additional services are billed as per applicable Terms of Service.

4. Company Name Updates

To update your company name, please submit:

  • Application on both old and new company letterheads
  • PAN number
  • GST Registration document if any
  • Authorized stamp and signature

5. Smart Billing Adjustments

Any service modification or billing change is automatically prorated and reflected in your next invoice—ensuring fairness and accuracy.

6. Flexible Billing Cycles

Choose a billing cycle that aligns with your business planning:

  • Monthly
  • Quarterly
  • Semi-Annual
  • Annual
  • Bi-Annual

7. Transparent Invoice Generation

  • Invoices are generated on the 1st of every month
  • Mid-month orders are billed on a prorated basis
  • Standard billing cycle applies from the following month

8. Proactive Invoice Communication

  • Proforma Invoice copies are sent to your registered email ID
  • Payment reminders are sent 3 days and 2 days before the due date

Important:

  • All billing queries must be raised on the Proforma Invoice
  • No changes will be accepted after Tax Invoice generation

9. Hassle-Free Domain Renewals

Stay worry-free with our domain renewal support:

  • Renew before expiry to avoid disruption
  • Expired domains can still be renewed
  • Redemption fees apply if domain enters redemption period

10. Automatic Service Renewals

  • Services are auto-renewed as per agreement
  • Renewal Purchase Order (PO) must be submitted before expiry
  • Continued usage post-expiry will be chargeable

11. Secure Transactions & Chargebacks

We prioritize secure and reliable transactions:

  • Chargebacks result in immediate service suspension
  • Penalty of INR 500 applicable
  • Services may be terminated without backup

Note: Chargebacks are not considered refunds.

12. Fair Compensation Policy

We stand by our service commitments:

  • Compensation is provided if guaranteed service levels are not met
  • Evaluated case-by-case by ESDS Billing Team
  • Maximum compensation capped at one month’s service fee

13. Strong Account Verification

All orders undergo strict verification to ensure secure onboarding:

  • Additional documentation may be requested
  • Services activated only after successful verification

14. Security & Compliance

We maintain high standards of security and compliance:

  • Accounts may be suspended for violations
  • Reactivation requires corrective action and documentation
  • Serious violations may lead to permanent termination without refund

15. Overdue Notification Schedule

We keep you informed to avoid disruptions:

  • 1st Notice: Day 2 after credit period expiry
  • 2nd Notice: Day 4 after credit period expiry
  • 3rd Notice: Day 6 after credit period expiry

16. Suspension & Termination Policy

We follow a structured communication process:

Advance Notices:

  • 72 Hours Notice (Day 8)
  • 48 Hours Notice (Day 9)
  • 24 Hours Notice (Day 10)

Actions:

  • Services are suspended after due date in case of non-payment
  • Services may be terminated on the 7th day post due date
  • No backups are guaranteed after termination
